Reception & Intake Coordinator

Overview

The Luminus Network for New Americans is a nonprofit located in Columbia, Maryland that empowers immigrants, refugees, asylees and other foreign-born individuals and families with legal, social, and language services. We are seeking a Reception and Intake Coordinator to support all reception and front office duties.

The Reception and Intake Coordinator will be a vital part of Luminus’s growing service offering making sure the “customer journey” of all who contact and interact with Luminus have an exceptional experience. The ideal candidate will greet, assist, and provide direction to serve the inquiries and requests of callers and visitors. We are looking for someone who is customer service oriented and flexible. This is a FT, hourly, non-exempt, in-person position. Specific tasks include but are not limited to:

  • Greeting clients, visitors, and guests; determining the purpose of each person’s visit and directing him or her to the appropriate location.
  • Answering, screening, tracking and directing phone calls to staff.
  • Receiving mail, documents, packages, and courier deliveries and distributing same.
  • Performing administrative and clerical support tasks.
  • Performing data entry in our customer relationship software, including Salesforce. Salesforce knowledge desired, but not required.
  • Performing basic filing and record-keeping.
  • Performing other duties as needed.

Programs: The ideal candidate may also support Luminus’ programs by:

  • Processing intakes for legal and social service programs.
  • Processing payments for walk-in guests for various services
  • Providing Office Manager support, including maintaining and ordering supplies, coordinating computer upgrades with staff and IT.
  • Assisting with data collection and reporting for grants and internal reports
  • Assist and participate in Luminus outreach/community events

Physical Requirements:

  • Prolonged periods of sitting at a desk.
  • Must be able to lift up to 15 pounds at times.

In addition to the skills above, the Reception and Intake Coordinator should be creative and adaptive in meeting the needs of clients in today’s COVID-19 environment, excelling in their role as a problem solver as they addresses the administrative demands of our front office that count on a successful experience and outcomes for those we serve.

This is a non-exempt position.

Education and Experience Requirements

  • HS Diploma required.
  • Bachelor’s degree or equivalent experience
  • Multi-lingual candidates preferred – Spanish fluency is required.
  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
